Delegated mailboxes

A delegated mailbox is a mailbox that can be accessed by other employees. This can be useful when employees need to respond to customers in place of their colleague who went on vacation or in other similar situations.

You can only delegate mailboxes that have their owners' accounts created on the organization's domain.

To start working with a delegated mailbox:

There's a limit on how many delegated mailboxes an organization can have and how many a single employee can access. For more information about the limits, see the Limits section on the "Shared access" page.

You can also manage delegated mailboxes via the API. How to do this

Enable mailbox delegation

When you enable delegation for a mailbox, this mailbox is considered delegated even if access by other employees is not yet configured. When you no longer need shared access to the mailbox, disable the delegation option so that it doesn't count toward the available limit.

To enable delegation:

  1. In the organization's account, go to Mail → Delegated mailboxes.
  2. Click + Add.
  3. Start typing the name, surname, or email address of the employee for whom you want to enable the delegation option, then select them from the dropdown list.
  4. Click Add — the mailbox will appear in the list of delegated mailboxes.

Set up access to the mailbox

You can only set up other employees' access to the mailbox that's been added to the list of delegated mailboxes.

  1. In the organization's account, go to Mail → Delegated mailboxes.
  2. Select the delegated mailbox you want to grant employees access to, or hover over its row and click next to it.
  3. Click Set up access.
  4. Start typing the name, surname, or email address of the employee to whom you want to grant access, then select them from the drop-down list.
  5. Select the actions that will be available to the employee. For information on available actions, see What users can do.
  6. Click Save — the employee you granted access to will appear in the list.

To connect a new mailbox, disable access to any shared or delegated mailboxes that you no longer need.

When you grant, revoke, or change an employee's access rights, Yandex 360 for Business sends two notification emails: one to the employee who was granted access and one to the owner of the delegated mailbox.

Help the employee set up the mailbox

Disable mailbox delegation

  1. In the organization's account, go to Mail → Delegated mailboxes.
  2. Hover over the line with the mailbox for which you want to disable the delegation option and click on the right.
  3. Click Remove from delegated.
  4. Confirm the action. After that, only the owner of this mailbox will keep access to it.
