Tip

  • To avoid errors, check whether your browser complies with the technical requirements.
  • The system sends notifications by email. Check the “Spam” folder from time to time so that you don't miss any system emails.

View procurement events

Note

To participate in procurements, you must be registered in the SAP Ariba Yandex system and on the Ariba Network platform (see the Supplier self-registration section).

To view procurement events, go to the Ariba Proposals And Questionnaires page in one of the following ways:

  • Log in on the Ariba Network page, click Ariba Network in the upper-left corner, and select Ariba Proposals And Questionnaires in the drop-down list.
  • On the Ariba Network page, click Business Network in the upper-left corner, select Ariba Proposals And Questionnaires in the drop-down list, and log in.

On the Ariba Proposals And Questionnaires page, all events that you were invited to are grouped by state:

  • “Completed”: The event time has expired, and the winner has been selected.
  • “Pending selection”: The event time has expired, winner selection is pending.
  • “Open”: You can participate in the event.

The chief characteristics of the event information are displayed:

  • Title: Event name.
  • ID: Event document number.
  • End time: The time when the event closed for participation.
  • Event type: The bid submission format (Request for Information, Request for Proposal, or Auction).
  • Participated: An indicator of whether the supplier has submitted an offer for the event.

Event notification

When the buyer posts an event on the Ariba Network platform, you receive a notification at the email that you specified during registration (see the Supplier self-registration section). The email contains general information about the event.

Event information

To view the main characteristics:

  1. Follow the link in the email.

  2. Log in to Ariba Network. On the Ariba Sourcing page that opens, you'll see:

    • Owner: The buyer.
    • Event type: The bid submission format (Request for Information, Request for Proposal, or Auction).
    • Publish time: The time the event was posted on Ariba Network.
    • Due date: The time when the event closes for participation. The time remaining until the end of the event is displayed in the upper-right corner.
    • Allow bidding overtime: The possibility of prolonging the event.
    • Description: A description of the procurement procedure.
    • Currency: The currency of mutual exchanges.
    • Product or service: The purchase category.

  3. Press the Review Prerequisites button or click Review and Accept Prerequisites in the Checklist section on the left.

    Note

    If you have questions for the buyer, click Event Messages in the Event Details section on the left and create a message.

  4. Review the prerequisites and make a decision:

    If you decide to participate in the event:

    1. Select I accept the terms of this agreement and click OK.

    2. Confirm by clicking OK again.

    3. Go to the Event Contents section on the left. Study the materials (questions, cost characteristics, and attachments).

    • To download an attachment, click its name and select Download this attachment from the drop-down list.
    • To download all the event attachments, select All contents in the Event Contents section on the left and click Download all attachments.

    To continue participating in the tender procedure, go to the lot selection.

    If you decide to decline participation in the event:

    1. Click the Cancel button in the agreement.
    2. Click Decline to participate.
    3. Specify the reason (optional) and confirm.
      If you reconsider, here's how you can return to the event and resume participation:
    4. Click I intend to bid.
    5. Go to the prerequisites (see p. 3) and accept the terms of the agreement.

Lot selection

An event may contain several lots/positions. You can submit some of the lots and discard the rest. To select lots:

  1. Press the Select Lots button.

  2. On the Select Lots tab, select the lots that you want.
    For the rest, specify the reason why you didn't select those lots. Press the Confirm Selected Lots button.

    Note

    If you have questions for the buyer, click Event Messages in the Event Details section on the left and create a message.

  3. After you submit the lots, the contents of each item open. Study the terms and conditions and the attached documentation, answer the questions, and fill out the price fields.

    Note

    Fields marked with an asterisk (*) are required. To see suggestions and comments on the form, hover over the question mark (?).

    Possible actions
    • Submit Entire Response: Submit a bid.
    • Update Totals: Show the total amount.
    • Save draft: Save the filled out field values so that you can exit the event and return to it later.
    • Compose Message: Go to the Event Messages section to contact the buyer.
    • Excel Import: Download the data from an Excel file.
  4. To submit a bid, click Submit Entire Response and confirm by clicking OK.
    If necessary, before the end of the event, you can edit your bid and exchange messages within the event.

Alert

The Auction type procurement procedure is dynamic bidding. It's recommended that you periodically monitor the status of your response in Ariba Network by position.

To submit a new bid in auctions, you don't need to click Revise response. The values filled out earlier are pulled up automatically. You only need to edit the bid prices.

After the procurement procedure is updated, the supplier receives a notification at the email address that they specified during registration (see the Supplier self-registration section). It's a good idea to check for new lots:

  1. Follow the link in the email.
  2. In the Checklist section on the left, click Select Lots.
  3. If there are new items, select them and click Confirm Selected Lots.

Edit the current bid

To make adjustments to the current bid:

  1. Go to the Ariba Proposals And Questionnaires by doing one of the following:

    • Log in on the Ariba Network page, click Ariba Network in the upper-left corner, and select Ariba Proposals And Questionnaires in the drop-down list.
    • On the Ariba Network page, click Business Network in the upper-left corner, select Ariba Proposals And Questionnaires in the drop-down list, and log in.
  2. In the Checklist section on the left, click Submit Response.

    • If the Revise response button is displayed, this means that your colleagues from procurement have kept this bid, but changed the components of the procedure. You can edit the bid.

    • If there is no button, this means that the bid wasn't saved, and the item was deleted. You can't edit the bid.

  3. Press the Revise response button and confirm by clicking OK.

  4. In the window that opens, click the plus (+) sign in the All Content section in the item line.

  5. Make the necessary changes, click Submit Entire Response, and confirm by clicking OK.
