Configure shared access to a folder

You can grant your friends or colleagues access to the folders on your Yandex Disk. When they gain access to your shared folder, they will see a copy shared folder on their Yandex Disk.

In the Yandex 360 "For a family" plan, you can create family folders for quick file sharing with other members of the family group.

When you make changes within a shared folder, such as renaming or adding a file, all the authorized users can see your changes. Information about the changes also appears in History on their Yandex Disk.

With edit access to the folder, participants will be able to edit your files and upload new ones. This allows you to work on the same files together.

You can have a maximum of 100 shared folders on Yandex Disk with certain limitations:

  • You can create 50 folders.
  • You may be invited to 50 folders.

Up to 200 participants (not counting the owner) can be invited to the shared folder.

You can only configure shared access to a folder on your Yandex Disk in the desktop browser.

Folder access

  1. Choose the folder and click Manage access on the top panel or in the context menu.

    You can't share a folder if it:

    • Doesn't belong to you.
    • Contains a shared folder.
    • Is located in a shared folder.
  2. Enter the name or email address of the user to whom you want to give access.
    To access the folder, you need a Yandex account. If the invited person doesn't have an account, they receive an invitation to register.

  3. Choose the access rights and click the Invite button.

    Note

    If you see an error message when sending an invitation, make sure that there are no errors or typos in the invited person's address.

Access levels

When granting other people access to a folder, you can specify their access level:

  • View — permission to view and download files from the shared folder.

    In this case, the participant can't modify or add files either on the site or in the apps. (The Yandex Disk program doesn't synchronize changes to a shared folder made by a participant with restricted access on their computer.)

  • Edit — permission to upload new files, modify existing files (rename, edit, publish), and delete them.

You cannot set custom access to individual files or subfolders within a shared folder. Participants lose access to a file in a shared folder if the owner or someone with edit access deletes the file or moves it to a restricted folder.

To see who has access to the folder, select the folder and click in the top left panel.

To change the access settings for the shared folder, select the folder, click Manage access on the top panel, and set appropriate access for each user. If you need to revoke all access, click the corresponding button at the bottom of the window.

Do other people's folders use up space on my Yandex Disk?

No, a shared folder takes space only on its owner's Yandex Disk. Once you accept the invitation, the service copies the folder to your Yandex Disk, but space occupied by the folder isn't counted. This means you can accept an invitation to access a folder of any size, regardless of the space available on your Yandex Disk.

If you run out of space on your Yandex Disk, you won't be able to upload files to a shared folder, even if you are not the owner of this folder. If you want to be able to upload files to a shared folder, make sure you have some free space on your Yandex Disk.

How to access a shared folder quickly?

You can see the list of folders that you have granted or gained access to on the Shared folders page. Each shared folder is marked with the icon.

Managing shared folders

  • Each authorized user can rename and move shared folders within their personal Yandex Disk. This does not affect granted or received access rights.

  • Authorized users can revoke their own access to a shared folder by deleting the copy from their own Yandex Disk.

  • The folder owner can delete it. To do this, disable sharing the folder, then remove it and empty the Trash. In this case, all users will lose access to the folder.

  • Users with Edit access can view, download, change, publish, and delete files from a shared folder.

  • Users with View access can view and download files from a shared folder.

    Note

    If you want but can't change or delete a file from a shared folder, ask the owner to give you edit access to the folder.

I can't configure access for or upload a file to a shared folder

When there's no more space on your Yandex Disk, you can't:

  • Upload new files
  • Share files and create shared folders
  • Open files shared earlier via public links
  • Efficiently work with the files you've uploaded earlier.

To lift the restrictions, purchase additional space or delete the files you no longer need and empty the Trash (files in the Trash also take up space). If necessary, download the files to your computer before deleting them.

Alert

If you don't lift the restrictions, your access to Yandex Disk will be blocked after 44 days.
