Contact people outside your organization

Quickly contact an external user

The easiest way to quickly contact a contractor or another person outside your organization in Yandex Messenger is to send them an invite link:

  • Press  → Invite to Yandex Messenger or go to your profile settings → Share contact.
  • Copy the invite link and send it to the person you want to invite.

By following this link, your invitee will enter a private chat with you. To log in to Yandex Messenger, they will need a Yandex account. This can be an account linked with any Yandex service: being a Yandex 360 client isn't necessary. The chat will be created in your personal space, so the external user won't be added to any of your work-related conversations.

Invite links are valid indefinitely

Anyone who receives your invite link can use it to contact you. For this reason, share invite links with caution. You can delete unwanted chats from your personal space and block unwanted users. Learn more

You can't sync contacts on your phone with Yandex Messenger. But you can send invite links to your contacts, for example, via SMS, by email, or in another messenger. It doesn't take much time!

By default, only you and your colleagues have access to your organization's chats in Yandex Messenger. If you often communicate with people from other organizations in the course of your work, for example, with those from another branch of your company, your admin can create a federation.

A federation is a connection between organizations

It allows different companies' employees to collaborate using the Yandex 360 services. For example, they can add each other to meetings in Calendar or group chats in Yandex Messenger. To learn more about the creation and benefits of federations, see the admin guide.

Benefits of having linked organizations in Yandex Messenger

If a federation consists of 2 organizations, their employees can freely:

  • See and find each other when searching contacts.
  • Create private chats.
  • Create group chats and channels and add each other to them.
  • Make video and voice calls.
  • Exchange files, voice messages, reactions, and stickers.

If a federation consists of 3 or more organizations, only employees of the organization that has created a group chat or a channel can add the first members from other organizations to that group chat or channel.

How it works: example

There's a federation that consists of three organizations: Chamomile, Dandelion, and Buttercup. John from Chamomile creates a group chat and adds to it his colleagues as well as Mary who is a Dandelion employee.

Mary can invite to this chat any colleagues, except Buttercup employees. They should be first added by someone from Chamomile because this is the organization that has created the chat.

I can't see some of my chats and contacts after creating a federation. Why?

This happens rarely to organizations created before introducing spaces in Yandex Messenger. Spaces help separate your personal contacts and private chats from the work-related ones. You can switch between spaces in the settings.

Organizations created a long time ago don't have spaces. However, spaces appear in such organizations when they are added to a federation. After that, chats are automatically sorted between spaces. All personal contacts and private chats go to employees' personal spaces while work-related contacts and chats go to their workspaces.

This means the missing chats and contacts aren't lost: they have just been moved to another space. To see them, switch between your spaces in the settings.

Organization labels

Employees of the organizations linked with yours have the names of their organizations indicated next to their names and in their profiles. You may also see the federation icon next to group chats and channels. This icon indicates that their members include the employees of other organizations.

What happens after your federation is deleted

In this case, employees from other organizations are removed from your Yandex Messenger contacts, group chats, and channels. Your private chats with them are also deleted.

Contact support

Spaces help separate private and work-related matters. Personal chats are stored in your personal space while work-related ones are kept in your workspace that belongs to your organization. You can switch between the spaces in your profile settings.
