The Yandex Connector extension for Microsoft Outlook

Yandex Connector is an extension for syncing your calendar, video meetings, to-dos, and contacts in Microsoft Outlook with Yandex 360 for Business services.

This extension uses the CalDAV and CardDAV protocols and is available in the Microsoft Outlook email program version 2016 and above. It works in Windows 10 and Windows 11.

Install the extension

  1. Download the installation file.
  2. Run the downloaded file and follow the on-screen instructions.

If you're a system administrator, you can silently install the extension on the computers of all employees by using the msiexec command in the Windows command line.

  1. Download the installation file with the .msi extension.

  2. Open the Windows command line.

  3. Enter this command:

    msiexec.exe /i "<location and name of the installation file>" /quiet

    The command to run the silent installation of the Y360OutlookSyncSetup_x86.msi extension located on the С drive:

    msiexec.exe /i "C:/Y360OutlookSyncSetup_x86.msi" /quiet

About automatic updates

The Yandex Connector extension is updated automatically. New versions are more stable and have enhanced data security.

We recommend not to turn off automatic updates. However, if you still need to do it, use the Windows Registry Editor:

1. Press Win + S.

2. Enter regedit in the search box.

3. Right-click Registry Editor (or regedit.exe) and select Run as administrator. Enter the admin password.

4. Paste HKEY_CURRENT_USER\SOFTWARE\Yandex\Y360.OutlookConnector into the address bar or open this path in the left-hand panel.

5. Click Edit → New → DWORD Value.

6. Enter DisableAutomaticUpdates and press Enter to save the value's name.

7. Open the created value and enter 1 in the Value data field.

8. Click ОК.

When you decide to turn automatic updates back on, edit the DisableAutomaticUpdates value: enter 0 in the Value data field and click ОК.

Log in and get started

  1. Open Microsoft Outlook.

  2. Click Yandex Connector on the top toolbar.

  3. Select Log in.

  4. Enter your Yandex username and password and click Log in.

  5. Confirm logging in with your Yandex account and allow access to your data.

    If your organization uses single sign-on (SSO)

    1. In the window that opens, enter your corporate account's username and password and click Log in.
    2. Enter the confirmation code that appears in a new browser window.

Once you're logged in, all your calendars, to-dos, and contacts will start syncing automatically.

Manage meetings

Create a meeting

With Yandex Connector, you can create:

  • External meetings for everyone who gets a link from you.
  • Internal meetings exclusively for employees — users with accounts in the organization's domain.
  1. Open Microsoft Outlook and log in to your Yandex account if you haven't done so yet.

  2. Go to the meeting creation screen.

  3. In the upper-right corner of the toolbar, click Yandex Telemost.

  4. Select External meeting. You'll see an invitation with a link for the participants.

  5. Specify the name, date, time, and other meeting parameters. Add participants.

  6. If your organization has meeting rooms, you can book them. To do that, add the meeting room's mail address to the list of required participants. Your organization's administrator can tell you the address.

    If the meeting room is available, an email is sent from its address to inform you that the invitation to the meeting is accepted. If the meeting room is occupied, you receive a rejection and the room is removed from the list of participants. You can turn off such emails following the instructions here, but then you won't be able to find out whether the meeting room was booked or not.

  7. Click Save and close to add the meeting to your schedule.

  1. Open Microsoft Outlook and log in to your Yandex account if you haven't done so yet.

Edit or delete a meeting

With Yandex Connector, you can:

  • Change the meeting access type, such as turn an external meeting into an internal one, and vice versa.
  • Go to the event in Yandex Calendar and select a time for the event and a meeting room based on the participants' schedules and room availability.
  1. Open Microsoft Outlook and log in to your Yandex account if you haven't done so yet.
  2. Open the meeting you want to edit or delete.
  3. In the upper-right corner of the toolbar, click Yandex Telemost.
  4. Select Settings in the panel on the right.
  5. If you want to change the access type, enable or disable the Only employees option and click Save. If you no longer need this meeting, click .
  6. Click Save and close to confirm the changes.

In the web version of Yandex Calendar, you can change the event time based on the participants' schedules or find an available meeting room. Yandex Connector helps you easily switch to the event in the browser window.

Who has access

The organizer can open and edit the meeting. Participants can do this if the event has the option Participants can edit event enabled.

  1. Open Microsoft Outlook and log in to your Yandex account if you haven't done so yet.
  2. Open the meeting you want to edit in the browser.
  3. In the top right corner of the toolbar, click Yandex Calendar.
  4. Select Edit event to open the event. To open the calendar, select Go to Calendar.

Turn off syncing

  1. Log in to your account if you haven't done so yet.
  2. In the upper-left corner, click Calendars, to-dos, and contacts.
  3. Deselect the boxes to the left of the calendars, to-do lists, or contacts that you no longer want to sync.
  4. Click Save changes.

Troubleshooting

I can't log in

If you encounter an issue logging in to your account when using the built-in browser in Microsoft Outlook, try logging in from an external browser:

  1. Open Microsoft Outlook.
  2. On the toolbar at the top, click Yandex ConnectorSettings.
  3. Enable Use an external browser to log in and try to log in to your account.

If the issue persists, contact support.

The "ForbiddenError" occurs when I try to create or update a meeting

Log out of your account and log in again. If the issue persists, contact support.

Other issue, such as a sync error

Contact support and describe the issue: when it appeared, what actions you took to solve it, and in what order. Attach a log file to your message so that we can help you faster.

To collect logs in the program:

  1. Open Microsoft Outlook.
  2. On the toolbar at the top, click Yandex ConnectorSettings.
  3. Select Include debug info.
  4. Repeat the action that results in the issue.
  5. Return to the settings, deselect Include debug info, and click Show. A folder with log files will open.

You can find the log files for the past 10 days in the folder C:\Users\username\AppData\Local\Yandex\Y360.OutlookConnector\data.
