Yandex Telemost for meeting rooms: SIP connectors

This feature is available at an extra cost in the Optimal plan.

If your meeting rooms have SIP equipment for video meetings, employees can use it to connect to Yandex Telemost. A room will be considered a video meeting participant, not a specific user.

To do this, purchase an add-on to your Yandex 360 for Business plan with the required number of SIP connectors.

Preparing equipment

Your organization is responsible for choosing, purchasing, and setting up video conferencing equipment following the manufacturer's instructions.

Below is a list of video conferencing solutions that use the session initiation protocol, tested and supported by Yandex Telemost in Yandex 360 for Business.

Determine how many connectors you need

SIP connectors aren't associated with a specific meeting room. The number of connectors shows how many rooms can join your Yandex Telemost meetings at once.

What you need to know about connectors:

  • Billing is based on the number of connections, not the number of meetings. If three rooms are connected to the same meeting, three connectors are engaged.

  • For external participants, the meeting host's limit applies. For a partner company's meeting room to join your meeting, the available connector must be on your side, not theirs.

Example. Your offices have 8 meeting rooms with suitable equipment, and you often hold video meetings with a partner who has 2 more such rooms. You purchase 5 SIP connectors. This means no more than five rooms may participate in your Yandex Telemost meetings, and an attempt to connect a sixth room will result in an error. When one room disconnects and releases a connector, the sixth room will be able to join.

How to purchase connectors

  1. Log in to the organization's admin account.

  2. Go to the tab Telemost → Add-ons.

  3. In the section Telemost for meeting rooms, select Connect via SIP connector and click Add.

  4. Enter the required number of connections, check the cost, and click Add.

Once payment is complete, you'll see the available connectors in the section Connect via SIP connector.

How to change the number of connectors

  1. Log in to the organization's admin account.

  2. Go to the tab Telemost → Add-ons.

  3. In the section Telemost for meeting rooms, select Connect via SIP connector and click Change number.

  4. Increase or decrease the number of connectors.

The connector is paid for a minimum period of one month.

You can increase the number of connectors whenever you like, but you can only decrease it after a month has passed since the last increase.

How to whitelist IP addresses

Specify the meeting rooms' IP addresses in your organization account so Yandex Telemost doesn't treat them as external participants.

If the Waiting room for external users option is enabled for the meeting, meeting rooms with addresses on the list are treated as employee accounts and join the meeting immediately. Those not on the list are placed in the waiting room until admitted by the host.

How to add IP addresses:

  1. Log in to the organization's admin account.

  2. Open the tab Telemost and click IP addresses for SIP.

  3. Specify the external IP addresses or CIDR subnets of meeting rooms configured with SIP equipment. Select:

    • Upload list to attach addresses as a CSV file. On the page that opens, you'll find the template you can download and instructions for completing it.
    • Add manually to enter addresses one by one.

How to connect to a meeting in Yandex Telemost

After you've set up the equipment and purchased the connectors, make sure that everything works correctly. To do this, join one of the organization's meetings from a meeting room:

  1. Create a meeting in Yandex Telemost or use a link to an existing one.

  2. On the video conferencing device in the meeting room, press the button to start the call (for example, Call, Join, New Meeting — this depends on the equipment manufacturer).

  3. Enter the address in the format <meeting ID>@sip.t.ya.ru. You can find the ID at the end of the meeting link. For example, for the link https://telemost.yandex.ru/j/1111111111, the address will be:
    1111111111@sip.t.ya.ru

  4. On the screen, press the call confirmation button.

To enable employees to see both other participants and themselves (video from the room's camera) on the meeting screen, find and activate the Self View option on the device.

How to manage a room during a meeting

Video conferencing equipment has a screen and a keyboard (physical or touch). During the meeting, users can run DTMF commands by entering specific numbers on the keyboard.

Supported commands:

  • 12: Mute or unmute the microphone.
  • 13: Raise a hand.
  • 15: Enable gallery view.
  • 16: Show the list of participants.
  • 4: Swipe participants to the left.
  • 6: Swipe participants to the right.
  • *: Hide command menu.
