Google Shared Drives

You can copy the contents of shared drives from Google Workspace to personal Yandex Disks of Yandex 360 for Business users.

Terms and limitations

From how many shared drives can I copy simultaneously?

Within one migration, you can specify up to 20,000 employee usernames, with a separate personal Yandex Disk specified for each shared drive.

If you need to copy several shared drives to one personal Yandex Disk, perform multiple migrations. They need to be run sequentially: the migration of each subsequent shared drive should only start after the previous shared drive has been fully migrated.

Where are the files copied to?

When copying Google Shared Drives, a designated folder is created on the user's personal Yandex Disk. The structure of subfolders and files is preserved.

Folder naming and pathing

Each Google Shared Drive has:

  • A name (not unique on Google Drive).
  • An ID (unique on Google Drive).

Based on these two parameters, a folder with a unique name is created on Yandex Disk. For example, if you copy a shared drive with the name SharedDisk and ID 1qazXSW23edcVFR45tg, then the folder name on the personal Yandex Disk where all the contents of the shared drive will be moved will be SharedDisk_1qazXSW23edcVFR45tg.

File copying limitations

For successful migration, the file name length on the shared drive must not exceed 255 characters. Files that don't meet this condition won't be copied. Before migrating, check the contents of the Google Shared Drives for such files and rename them.

Start migration

  1. Prepare a secret, link a domain, and prepare employee accounts if you haven't already done so.

  2. Give the "Manager" rights to the service account that you received when preparing the secret for the shared drives. Follow these steps:

    1. Go to Apps → Google Workspace → Drive and Docs → Manage shared drives.

    2. On the drive you need, click Manage members and add a service account with "Manager" rights.

    3. Repeat the previous step for all the drives you want to migrate.

  3. Make sure that each Yandex 360 for Business user has enough space on Yandex Disk to store the files that will be migrated from the Google Shared Drive. You can check the available space on a user's Yandex Disk in the employee card.

  4. In the left menu, select General settings → Migration.

  5. Select what you want to migrate: click Migrate files.

  6. Select where you want to migrate files from: click Google Workspace.

  7. Upload the secret file and click Next.

  8. Specify the accounts for which you want to start migration:

    1. Download the CSV file template.

    2. Following the example, add the following information to the file:

      • The yandex_login column should contain the usernames of the employees to whose personal Yandex Disk accounts you'll be migrating files.

      • The drive_id column should contain unique 18-character drive IDs. These IDs can be found in the shared drives menu: on a drive, click More → Copy ID. Remove the hyphen from the ID, leaving only the alphanumeric value.

      Note

      You can add up to 20,000 usernames. In one file, all usernames must be unique. If you need to migrate several Google Shared Drives to a user's Yandex Disk, migrate them one at a time: first complete the migration of one shared drive and only then start the migration of the next drive to the same personal Yandex Disk.

    3. Save the CSV file in UTF-8 encoding (in Microsoft Excel, click Save as → CSV-UTF8).

      If you save the file in a different encoding, it won't be recognized correctly.

    4. Click Upload CSV and select your file.

  9. Click Start migration.

    The status will change to Migrating.

    Data collection takes from a few minutes to two hours, and then the files start appearing on Yandex Disk. If some of the files are already on Yandex Disk (for example, they were moved earlier), the dates when they were last changed on Google Drive and Yandex Disk are compared, and the older versions are replaced with the newer ones.

    After the copying is complete, the files are no longer synchronized. If new files appeared in the SharePoint library after the copying is completed and you want to migrate them to Yandex Disk, start a new migration.

Once migration is complete, make sure that the number of copied files is the same as the number of files in the source. If you plan to run the process multiple times, save the migration report before each new run. If errors occur during migration, you'll be able to track at which run they appeared.

Where can I view the migration report?

To download the report, go to the active migration page and click Details in the top-right corner. The report displays the logs of the last launched migration process. They contain detailed information about the number of files copied to the personal Yandex Disk and any errors that occurred during this process.

What happens if I stop migration?

All running migrations will be stopped. Any files already copied at the time of the stop will be saved.

What happens if you start a new migration

If you start a new migration before completing the previous one, the new migration will run in parallel with the already launched process for all personal Yandex Disks.

Alert

If you want to run a migration with a file that contains a username involved in another active migration process, you'll need to wait for the first migration to complete. You can view the progress status in the details.
