Guests

Guests are people outside your company who can join work chats with your employees in Yandex Messenger. This makes it easy to connect with multiple employees from another company or with contractors.

Guest access is already included in the plan, so there's no need to purchase a separate one for them

Inviting a single guest

To send an invitation, go to the company account and navigate to External contacts and guestsGuestsAddInvite manually. Fill in all the fields and click Invite. The user will only be able to accept the invitation from the account to which it was sent. The account must be registered on the @yandex.ru domain or the main domain of the company. The invitation will be sent to the user's specified email and is valid for three days. If the user doesn't log in during this time, you'll need to send them another invitation.

Inviting multiple users

You can add multiple guests at once using a CSV file.

  1. Go to the company account.

  2. In the left menu, select UsersExternal contacts and guestsGuests.

  3. Click AddUpload as list.

  4. Click Download template and save the file to your device.

  5. Fill out the downloaded file:

    When you populate the file, follow these rules:

    • Use comma as the field delimiter.
    • Email addresses should be unique. If the file contains an email address that's already in the guest list, uploading it will result in an error.
    • To add another email address or phone number to a contact, enter it in the next line.
  6. Save the CSV file in UTF-8 encoding. Other encodings won't be read correctly.

  7. Make sure that the file contains no more than 1000 lines and its size doesn't exceed 10 MB.

  8. In the company account, click Select CSV file and choose your file.

  9. Click Upload list. Added users will receive an invitation email. They need to accept the invitation within three days.

Deleting a guest

  1. Go to the company account.
  2. In the left menu, select UsersExternal contacts and guestsGuests.
  3. Select the guest you want to delete and click at the end of the row.

Once deleted, the guest will lose access to all work chats in your company.

How can I prevent employees of my company from being invited to other companies?

To restrict the ability to invite your employees to other companies:

  1. Go to the company account.
  2. Go to SecurityRestrictions.
  3. Enable the option Restrict employees from being guests in another organization.

After this, companies will no longer be able to send invitations to your employees, and existing guest access will be revoked. The restriction applies only to accounts on the company domain.

The guest can't download a file. What do I do?

Users who are invited to Yandex Messenger as guests can only download files from group chats if the administrator allowed it in the chat or channel settings.

Guests can't download attachments from private chats. To send a file directly, use Yandex Disk: upload it and share the link with the recipient.
