Setting up an organization

To get started with Yandex.Connect, connect a domain to your organization, add users, and enable the platforms you need.

Step 1. Add a new company to Yandex.Connect.
  1. Log in to your Yandex account. If you don't have an account, create one.

  2. Open the Yandex.Connect page.

  3. Click Try it out on the upper panel.

  4. Enter a name for your company and click Activate.

After you sign up, you become the owner of an organization in Yandex.Connect and can change the organization's settings, manage employee accounts, as well as activate and deactivate services you need.

Step 2. Link your email domain

Link your domain if you want to use Yandex.Mail for Business and create employee accounts with mailboxes hosted on that domain. If you don't have an email domain yet, you can always activate it later.

  1. Go to the Yandex.Connect main page, find the Webmaster card, and click Add domain.

  2. Enter the name of your domain (such as example.org) and click Add.

  3. Confirm your ownership of the domain using one of the methods outlined on the screen. This is needed to ensure nobody can enable a domain without its owner's consent. For more information on domain verification, see Connect domains.

  4. Wait for the domain to be verified.

  5. Set up DNS records for your domain so that you can use Yandex.Mail. There are two methods:

    • You can delegate the domain to Yandex servers. In that case, all DNS records are set up automatically.

    • If you don't want to delegate your domain to Yandex servers, you can set up DNS records for your domain using the website of your DNS hosting provider. Usually it's the same company that acts as your domain's registrar.

  6. Wait for the changes to take effect. It may take DNS servers up to 72 hours to exchange the updated DNS records.

Step 3. Add employees

Add employees to your company. You can create brand new accounts manually, import them from other mail servers, or invite users with existing Yandex accounts to your company.

Create

Create employee accounts with mailboxes hosted on your domain, such as login@example.com. Such accounts can be managed manually: you can set their passwords, change personal information, block them, and so on.

  1. Open the All employees page.

  2. Choose + Add → Add employee at the bottom of the page.

  3. Configure personal information for the new employee.

Restriction. To create accounts for employees, first you have to link an email domain for your company.

You can add up to 1000 employee accounts to a single organization. If you need to add more, please contact support.

Import
  • You can transfer your existing corporate mailboxes and their contents to Yandex.Connect, even if they're hosted on another email service (be it a private server or a public one, such as Mail.Ru, Gmail, and others). Each imported mailbox will receive an associated employee account at your company. To learn more about importing mailbox, read the Importing mailboxes section.

  • If your company uses Active Directory, you can import user accounts from it and automatically create employee accounts in Yandex.Connect.

Restriction. To create accounts for employees, first you have to link an email domain for your company.

You can add up to 1000 employee accounts to a single organization. If you need to add more, please contact support.

Invite

You can invite others to join your organization using their existing Yandex accounts in the format of login@yandex.com. You don't have to link an email domain or manually create each new employee account. Simply send your employees an invite.

  1. Open the All employees page.

  2. Choose Add → Invite employees at the bottom of the page.

  3. List emails of the employees you want to invite. Yandex.Connect will then send them emails with an invite.

  4. To create an invite link, turn on the Enable access via invite link option. Such links can be easily sent via a messenger or posted on a website.

Step 4. Assign employees to departments

You can recreate your company's internal structure in Yandex.Connect: create departments and sub-departments, add employees, and assign respective department managers. This makes it easier to manage access rights, grant or revoke subscriptions, or create group mailing lists and chats.

  1. Open the All employees page.

  2. At the bottom of the page, select Add → Create department.

  3. Set up your department and click Create.

  4. Click Create.

Step 5. Activate other services

Yandex.Connect is also a hub for many other services. It includes Tracker, Wiki, Forms, Messenger, and enterprise versions of Mail and Disk.

To activate a service in Yandex.Connect, do the following:
  1. Go to the Yandex.Connect homepage and click on the service card.

  2. Click Activate on that service's settings page.

Joining an organization via an invite

If an organization's administrator sent you an invite, you can join that organization as its employee. You can use your personal Yandex account in the format login@yandex.com.

To join an organization, do the following:

  1. Open the invitational email and click the invite link.

  2. Specify a Yandex account you want to use within that organization, such login@yandex.com. If you don't have an existing account, create one.

    Restriction. You won't be able to join if your account is hosted on another domain (such as login@example.com).

After you're done, you will gain access to all the Yandex.Connect services available at that particular company.

Logging in to Yandex.Connect

To access platforms hosted on Yandex.Connect, do the following:

  1. Log in to your corporate account:

    • If your account is registered on the organization's domain, use your email address as your username, such as login@example.com.
    • If you used your personal account to join the organization, use your login in the format login@yandex.com.
  2. Open the desired service, such as Mail or Tracker.
  3. If you're simultaneously involved in multiple organizations on Yandex.Connect, you can select the desired organization by clicking your username at the top-right corner.
Note. To manage accounts, domains, and Yandex.Connect services, log in to the account of the organization's owner or administrator.
