Import mailboxes

Restriction. You can only import employee mailboxes if your company has a connected domain.

You can transfer messages from your mailboxes to Yandex.Mail for Business even if they are hosted on other servers (private and public servers, such as Mail.Ru and Gmail).

To import mailboxes, follow these steps:

  1. Log in to your account as the company admin.
  2. Go to the Import page.

  3. Select the email service that you want to transfer mailboxes from.

    If the service you need is not in the list, select Other server and set the mail server parameters manually.

    Attention. If you are importing mailboxes from Gmail:
    • In your Gmail mailbox, enable IMAP access for email clients.
    • If you use two-factor authentication with Gmail, allow access for insecure apps in your account settings.
  4. Select the server communication protocol: IMAP or POP3.

    If the source server supports IMAP, we recommend using it. IMAP allows you to fully import your mailbox to another server, including the folder structure.

    If you selected POP3, configure additional options.

  5. If you selected Other server, set connection parameters:
    • Domain name or IP address of the mail server.
    • Server port (for example: 993).

  6. Specify email addresses and mailbox passwords using one of the following methods:

    Manually on the import page
    1. Click Manually.
    2. Enter the full address of the mailbox and the password.
      Note. Some mail services may require you enter just the login instead of the full mailbox address. For example: enter login instead of login@example.com. You can find login formats for popular mail services in their Help sections: Yandex.Mail, Gmail, Mail.Ru. If your mailboxes are hosted on a different mail service, go to the service's Help and find the section on setting up mail clients. It most likely contains the necessary information. You can also contact your mail service support team.
    3. Specify the mailbox's owner in the Employee field. The employee account must be registered on your domain. If you leave the field empty, a new account will be created with the same login and password the original mailbox has.
    Upload data from a CSV file
    1. Click From CSV file.
    2. Download the CSV file template.
    3. Following the example, add the email addresses and passwords of the original mailboxes and data for creating mailboxes in Yandex.Mail for Business to the file.

      The first row in the file is the account field headers. Each following line must contain data for one account, delimited by a semicolon and in quotation marks.

      You must provide the address and password of the original mailbox and the login of the account on your domain where you want to import messages.

      If you don't provide a password for the new account, the password of the original mailbox is used.

    4. Save the CSV file in UTF-8 encoding (in Microsoft Excel, click Save as → CSV-UTF8).
      Attention. If you save the file in a different encoding, it won't be recognized correctly.
    5. Click Select file and specify your file.

    When importing mailboxes, a new employee account is created for each mailbox.

  7. Click Start import.
